I-A. THE KAPPAGEE FLEET MOBILE APPS.
Kappagee, Inc. is the developer and publisher of the Kappagee Fleet Driver, Kappagee Fleet Technician, Kappagee Fleet POS and Kappagee Fleet Reimbursement mobile applications, and of the Kappagee Fleet platform at fleet.kappagee.com. These four apps are workplace tools. You cannot create an account in them: your account is created for you by your employer, or by Kappagee in the case of a partner fuel station, and you sign in with the credentials they issue. Your employer, or the station operator, decides what the apps are used for, which features are switched on, who may see your records, and how long those records are needed. Kappagee provides and operates the platform on their instructions. Where you want a record corrected, restricted or deleted, your employer or station operator is the first place to ask, and we will act on their instruction; you may also write to us directly using the contact details below and we will route your request.
Each app collects only what its job needs. We do not use any analytics, advertising, attribution or crash-reporting service in any of these apps, we do not read any advertising identifier or device identifier, and we do not build profiles for marketing.
All four apps collect your work email address and your Kappagee Fleet account identifier when you sign in, and associate every record you create with that account. This is required; the apps do not work without signing in.
Kappagee Fleet Driver additionally collects: your location while a trip you started is running, including in the background, recorded as a series of positions along the route, and your position when you report an incident or raise an SOS; your breath-alcohol test results, including a reading you enter from a breathalyser unit and any refusal to test, where your employer requires pre-trip testing; photographs you take for a vehicle inspection or an incident report; the messages you send to your operations room; free text such as a trip purpose, inspection notes and an incident description; the fuel-card PIN you enter when you change it, sent to us to verify and set it; and, when you top up a fuel wallet, the amount and the mobile-money number you nominate.
Kappagee Fleet Technician additionally collects: your location, while the app is open only and never in the background, reported at most once a minute and again when you complete a job, to confirm you attended the site; photographs you take against a job checklist; your job notes, checklist results, logged time and recorded parts; and your own handwritten signature, drawn in the app, closing out a job.
Kappagee Fleet POS additionally collects: the fuel-card identifier it reads from a card QR code or that an attendant types, the transaction amount and fuel volume, and the PIN entered to authorise a transaction. It does not collect location, and its camera is a QR scanner only - it does not take or store photographs.
Kappagee Fleet Reimbursement additionally collects: your location while a trip you started is running, including in the background, from which it calculates the distance you drove and the start and end addresses; photographs of expense receipts you capture; and the trip purpose, vehicle type and claim details you enter.
We do not sell your data and we do not share it with advertisers, data brokers or analytics providers. There is no advertising or analytics code in these apps. We make your records available to the organisation that issued your account - your employer, or in the case of Kappagee Fleet POS the station operator - and to the people it authorises within the Kappagee Fleet web platform. That is the purpose of the product.
We use a small number of suppliers who process data only on our instructions and only to run the service: our cloud hosting and storage provider; our email and SMS delivery providers, for account and alert messages; and, where a mobile-money top-up is used, the mobile-money operator you nominate, which receives the number you entered and the amount in order to take the payment. These suppliers are not permitted to use your data for their own purposes. When the Kappagee Fleet Reimbursement app turns a satellite position into a street address, it uses the geocoding service built into your phone operating system, which may send that position to the operating-system vendor under that vendor own privacy terms; we receive only the resulting address. We may disclose data where we are required to by law, or to protect life, safety or property.
Two of these apps report your location to your employer. Kappagee Fleet Driver records where the vehicle goes while a trip you started is running, including when the app is closed, and shows a notification for the whole time it is recording. Kappagee Fleet Reimbursement measures how far you drive on a trip you start, also with a notification showing, and sends your employer the distance and the start and end address rather than the route. Kappagee Fleet Technician reports your position only while the app is open, to confirm you attended a job. Kappagee Fleet POS does not collect location at all. In each case you are told before the location permission is requested, in a dialog naming what is collected and what it is used for; you choose whether to allow it, and you can withdraw it at any time in your device settings, and the rest of the app keeps working. Your employer configured these apps for its fleet and is responsible for telling you, under your employment terms and your local law, that your work driving is monitored.

IV. SECURITY.
We use reasonable measures to help protect information from loss, theft, misuse and unauthorized access, disclosure, alteration, and destruction. You should understand that no data storage system or transmission of data over the Internet or any other public network can be guaranteed to be 100 percent secure. Please note that information collected by third parties may not have the same security protections as information you submit to us, and we are not responsible for protecting the security of such information.
IV-A. HOW WE PROTECT APP DATA.
Everything these apps send to us travels over TLS. The apps hold your sign-in tokens in the operating system protected credential store - the iOS Keychain or the Android Keystore - not in ordinary app storage. Records you create while offline are held in the app private storage on your device, inside the sandbox the operating system gives it, and are protected by your device passcode and your device disk encryption; keep a device lock on, and sign out on a shared device such as a station tablet. Signing out erases the records held on that device.
On our side, data is encrypted at rest, every record is scoped to the organisation that owns it and that scoping is enforced at the database level, access is limited by role to staff who need it, and changes to sensitive records are written to an audit trail. Fuel-card numbers are not stored in these apps or shown in full: the apps only ever see the last four digits. A PIN you enter is used to verify a transaction and is not retained by us in readable form. We have not yet completed an independent mobile security assessment of these apps; when we do, we will say so here.
IV-B. DATA RETENTION.
We keep your records for as long as the organisation that issued your account needs them, and then for as long as the law requires. In practice: trip, job, inspection and incident records, and the photographs attached to them, are kept for seven years after the record is closed; breath-alcohol test records are kept for seven years, because they are a safety and employment record; fuel transactions are kept for seven years and, because they are a financial record that must not be altered after the fact, they are stored so that they can be added to but never edited or deleted; mileage claims and expense receipts are kept for seven years as tax and payroll records; sign-in and audit records are kept for twenty-four months; and the location recorded along a trip route is kept for twenty-four months and then deleted. Records held on your device are kept until you sign out or remove the app.
IV-C. DELETING YOUR DATA.
You can ask us to delete the personal data we hold about you at any time, using the form at https://fleet.kappagee.com/privacy/delete-my-data or by emailing privacy@kappagee.com. Tell us which app you use and the email address you sign in with. We will acknowledge within five business days and aim to complete the request within thirty days.
Because your account was issued by your employer or a station operator, we will tell them about the request and act on their instruction where the record is theirs. We will delete your profile, your location history, your messages, the photographs you uploaded, and the records created from your use of the apps.
Some records we cannot delete on request, and we will tell you which: fuel transactions and other financial records we are required to retain, records we must keep for tax, employment or road-safety law, and records needed for a live legal claim. You can remove the copy held on your own device at any time by signing out of the app or uninstalling it.
